INDIe Midterm report

Due to the COVID-19 lockdown, the TM that was to take place May 14th-15th in Kaunas, Lithuania had to be cancelled and transformed into an online Transnational Meeting. It was set to take place at the same dates to make attendance easier and to respect the scheduled meeting.

During the meeting the mid-term report was presented and discussed and measures were agreed upon, in order to take into account the recommendations of the expert that elaborated the report.

Summary of the mid-term report assessment

The mid-term report assessment was released on May 6th 2020 and made available to the coordinator through the e-sepie platform.

The global assessment of the Project progress is GOOD, which is very positive.

Positive points reported by the expert:

  1. The project is progressing as scheduled in the proposal.
  2. Regarding dissemination/communication: the expert mentions the good quality of the web indieproject.eu, and of the materials therein. (videos, etc..).
  3. The high satisfaction of the attendees to the Short-term training event that took place in Cartagena, 21st-23th October 2019, deduced from the online survey that all participants took at the end of the training.
  4. The improvement of the usability of INDIeAuthor thanks to the Drag and drop interface that was implemented despite that it was not considered in the proposal.

Concerns raised by the expert:

  1. In the information that the coordinator introduced to complete the mid-term report, it was explained that, after the training event, bug reports and suggestions from the INDIeAuthor users were collected. On that basis, the reported bugs were fixed and a number of improvements or suggestions were implemented also. However, at some point, it was decided to postpone the implementation of new features requested by the users and focus the development effort on INDIeOpen, which is to be released by the end of September 2020. As a result, the expert raised his concern about the fact that the final quality of INDIeAuthor may be compromised and that it may be less attractive to users, if their suggestions were not taken into account.
  2. Regarding dissemination/communication: it seems to happen mainly through indie.upct.es, there is little diversity of means, and it is now time to disseminate the obtained results through other channels like TV- newspapers, radio.
  3. The expert could not check the measures that are in place in order to monitor and control the progress of the project and the work of each partner. He considers that the report is lacking detailed information about the responsibilities of each partner and how it is contributing to project’s activities. A description of the mechanisms of control, the channels of communications, the followed methodology used to monitor the project execution should be available.

Recommendations of the expert

For the following months, the expert makes recommendations in order to overcome the expressed concerns:

  1. The analysis of the convenience to implement the features requested by the INDIeAuthor’s users should be carried out, and a justification of the decisions regarding postponing the implementation of given features should be provided.
  2. Regarding dissemination and communication, it is time to make an extra effort. It is recommended to update the communication and dissemination plan.
  3. A better description of the mechanisms of control and of the measures taken to monitor and assess the project’s progress should be provided. Provide more detailed information about the responsibilities of the partners and how they contribute to the activities.

Agreements made within the partnership to implement the expert’s recommendations

After the presentation and analysis of the mid-term report assessment, the members of the teams reached a number of agreement to address the expert’s recommendation. These agreements are the following:

Recommendation #1
The analysis of the convenience to implement the features requested by the INDIeAuthor’s users should be carried out, and a justification of the decisions of postponing the implementation of a given feature should be provided

Agreement #1

  1. A document that contains a list of the requested features, and the decision to carry out or postpone the implementation, together with the reasons for the decision will be elaborated and communicated to all partners as well as uploaded to the Erasmus + results platform. In the case when a postponed feature is considered to be highly relevant by the INDIe partners, it will be scheduled in the roadmap of INDIeAuthor.
  2. Since Gloria Baeza, student of the Master on Educational Technologies, University of Murcia, is carrying out an assessment of the usability and relevance of INDIeAuthor as an EdTech tool as her final project, it is agreed that the conclusions that she will reach are highly relevant to INDIe, and will be presented and discussed in an online meeting. It will allow to have a precise perception of how useful and usable do the INDIeAuthor’s users consider the tool to be. In the case when the authors express that the lack of features may reduce the quality of the tool, the document of the previous point will be analysed and new features will make their way into the INDIeAuthor roadmap.

Agreement #2

  1. All partners should intensify their dissemination and communication efforts. They should take as reference the communication and dissemination plan and communicate to the coordinator and to the other partners the communication and dissemination activities that they plan to carry out.
  2. The communication and dissemination plan will be updated to consider actions for the next months.
  3. A section devoted to dissemination and communication activities will be included in all monthly online project meetings that will take place (see Agreement #3 below).

Recommendation #3
A better description of the mechanisms of control and of the measures taken to monitor and assess the project’s progress should be provided. Provide more detailed information about the responsibilities of the partners and how they contribute to the activities.

Agreement #3

  1. More explanation will be provided in the final report about the mechanisms of communication and control within the partnership.
  2. For the last year of the project, monthly online meetings will take place where the progress of the partners in achieving Intellectual Outputs are discussed, difficulties are mentioned, and decisions are taken to face them. Every monthly online meeting will include a discussion about dissemination and communication activities. Minutes of the meetings will be elaborated and shared within the partnership.
